ClickUp Stale Task Rescue

Clean the workspace before it becomes noise.

Keeps ClickUp useful by converting stale tasks into explicit owner actions instead of silent backlog clutter.

Duration3-5 minutes

Identifies tasks with old activity, overdue dates, unclear owners, or stuck statuses, then recommends a cleanup action and draft comment for each high-priority item.

How it runs

Multi-agent orchestration — here's the flow, step by step.

01

Call verslay_recall to retrieve prior stale-task audit results and rescue action history from memory. Then call clickup-workspace-orchestrator to fetch all tasks across the configured spaces with no status update in the last N days (configurable threshold, default 7 days). Pull task detail: name, assignee, last-modified timestamp, status, priority, due date, and last comment. Store raw stale-task list as Phase 1 output.

pm scanner
02

Consume Phase 1 stale-task list. Classify each stale task by decay severity: 'critical' (overdue + high priority + no activity > 14 days), 'at-risk' (due within 7 days + no update > 5 days), and 'drifting' (no due date + no update > 10 days). Compute per-member stale-task concentration to identify assignees with systemic inactivity. Produce a severity-classified stale-task register.

data analyst
02

In parallel with data-analyst, call verslay_web_search and verslay_news_search targeting 'task hygiene best practices project management' and 'reducing task abandonment in agile teams'. Call verslay_reddit_search on r/projectmanagement and r/productivity for community-sourced stale-task rescue heuristics. Pass rescue framework recommendations to Phase 3.

web researcher
03

Consume Phase 2 severity-classified register. For each 'critical' and 'at-risk' task, pull the full comment thread to identify the last known blocker or decision point. Check whether any stale tasks belong to completed epics (candidate for closure). Propose a rescue action for each task: re-assign, re-date, close as obsolete, or escalate to manager. Produce enriched rescue action list.

clickup workspace orchestrator
04

Consume Phase 3 rescue action list and Phase 2 severity register. Call verslay_chart_create to build a stale-task aging histogram (days-since-update distribution) and a per-member stale-task concentration bar chart. Format the rescue report with three action tables: 'Escalate Now', 'Re-date and Reassign', and 'Close as Obsolete'.

report formatter
05

Consume Phase 4 rescue report and charts. Write a stale-task rescue brief: severity summary, top three assignees with stale-task concentration, recommended escalations with owner names, and a list of tasks proposed for closure. Call verslay_memorize to store the stale-task audit results and rescue actions in memory.

executive briefing writer
05

Receive the stale-task rescue brief from executive-briefing-writer. Post to the configured Slack channel or email the relevant managers. Confirm delivery and log send timestamp.
